That depends on your property management system and which POS you choose. Where a direct integration exists we configure it; where it doesn't we will tell you plainly rather than letting you find out after install. Tell us what PMS you run and we will confirm what is actually possible before you buy hardware.
How should we handle incidental holds?
As real pre-authorizations with a defined amount at check-in and an automatic release at checkout. We configure the amounts and the release so guests aren't calling you two weeks later about a hold that never dropped — which is one of the most common complaints at smaller properties.
Can we take deposits for weddings and group bookings?
Yes, on a schedule tied to the booking, with a record of what was authorized and when. For event business the documentation is as valuable as the money, because it is what protects you in a dispute.
Our volume triples in summer. Will the system handle it?
That is a sizing conversation we have deliberately rather than by default. Seasonal properties in this region need hardware and configuration sized for the peak, not the average, and we would rather talk through it in the spring than troubleshoot in July. We will tell you where your bottleneck will be.
How do we defend against chargebacks on no-shows?
With a documented authorization, a cancellation policy the guest accepted at booking, and retained records. We set the system up so that documentation exists automatically. We can't promise outcomes on individual disputes, but having the records is the difference between a defensible claim and an automatic loss.
Can we report rooms separately from food and beverage?
Yes, and you should insist on it. Separated revenue centers are the only way to see which part of the property is actually making money, especially when F&B is subsidizing or being subsidized by rooms.
We're a small inn with a seasonal staff. Is this too much system?
Possibly, and we will tell you if it is. A six-room inn does not need a multi-outlet configuration. We would rather quote you the right small setup and keep you as a customer than oversell you something your staff won't use.
